# How to manage class subscription renewals

Renewals are where coaching businesses quietly leak money — a system beats memory every time.

To manage class subscription renewals, record the start date and renewal period for every membership, check a list of soon-to-expire plans weekly, and remind each student before their plan lapses rather than after. Renewal tracking apps like Coach Journal surface expiring subscriptions automatically so nothing depends on memory.

## How to manage subscription renewals in 6 steps

1. ### Record every membership's dates

For each student: what plan they are on, when it started, and when it renews or expires. If this is not written down per student, everything downstream — reminders, follow-ups, revenue — runs on memory, and memory fails exactly when the roster grows.

2. ### Standardize your renewal periods

Monthly, quarterly, 10-session packs — fewer plan types means fewer edge cases to track. Custom deals are fine, but write each one down as if you will have forgotten it in a month, because you will.

3. ### Keep an expiring-soon list

The core of the system is one view: who expires in the next 7 to 14 days. Check it weekly. In a spreadsheet this is a sorted date column; in a renewal-tracking app it is a built-in status that updates itself.

4. ### Remind before expiry, not after

A reminder a week before expiry reads as good service; a payment chase two weeks after reads as debt collection. The same message lands completely differently depending on timing, and the before-expiry version renews far more students.

5. ### Log the renewal payment immediately

When a student renews, log the payment and the new period the same day. A renewal that is agreed verbally but never recorded becomes next month's confusion about who is actually active.

6. ### Watch for silent churn

The expensive failure mode: a student whose plan lapsed weeks ago but who still attends, unpaid, because nobody noticed. A weekly cross-check of attendance against active plans catches this — it is the single highest-value five minutes in this system.

## Where Coach Journal fits in

Renewal tracking is the center of Coach Journal. Every student profile carries their plan and renewal status, and expiring or overdue plans are flagged with clear status indicators instead of hiding in a date column.

Because attendance lives in the same profile, the silent-churn check is automatic: a student attending without an active plan stands out immediately.

Monthly, quarterly, session-based, and custom renewal periods are all supported, so nonstandard deals get tracked instead of remembered.

## Questions people ask

### How do I keep track of when student memberships expire?

Record each membership's renewal date when it starts, and maintain one view sorted by expiry that you check weekly. Coach Journal maintains this view automatically with status indicators for expiring and overdue plans.

### When should I remind students about renewals?

About a week before expiry. Early enough that the student can renew without a gap, close enough that it does not get forgotten. Reminders after expiry convert noticeably worse because they arrive as payment chasing.

### Can Coach Journal handle custom renewal periods?

Yes. Alongside monthly and quarterly plans, Coach Journal tracks session-based packages and custom arrangements, so a student on a nonstandard deal is tracked with the same status visibility as everyone else.
